A vehicle shown as available on a spreadsheet can still be the wrong vehicle to send. It may be nearing a service interval, attached to the wrong trailer, delayed at a customer site or assigned to a driver with limited working time remaining. Learning how to improve dispatch visibility means giving planners a reliable live picture before a job is allocated, not discovering constraints after the customer has been promised a delivery.

For UK transport operators, dispatch visibility is not simply a tracking issue. It connects vehicle location, driver availability, tachograph rules, maintenance status and job progress in one operational view. When those details sit in separate systems, or are updated manually, dispatch decisions become slower and less defensible.

What dispatch visibility should show

Useful visibility answers the questions a planner faces at the point of allocation: Where is the vehicle now? Is it moving, parked, loading or delayed? Which driver is operating it, how much driving and duty time is available, and can the vehicle complete the work without creating a compliance or maintenance problem?

A vehicle dot on a map is only part of the answer. The more practical view combines live GPS position with status data that puts location into context. A lorry 15 minutes from a collection point is not necessarily the best option if its driver needs a break, the vehicle has a defect to assess, or its assigned trailer is elsewhere.

The goal is not to give every member of the depot more data. It is to make the next dispatch decision clearer. That requires a shared operational view that is current, trusted and easy to act on.

Bring location, driver and compliance data together

The biggest barrier to better visibility is fragmented information. A planner may use one system for tracking, a separate tachograph portal for driver hours, a whiteboard for trailer movements and a spreadsheet for planned maintenance. By the time all four sources have been checked, the information may already be out of date.

Start by identifying the data that affects whether a vehicle can be dispatched. For most HGV and mixed fleets, this includes:

  • current vehicle and trailer location
  • live vehicle status, including ignition, movement and idling
  • driver assignment and remaining driving or working time
  • tachograph download and infringement status
  • planned maintenance, reported defects and roadworthiness reminders
  • current job, route progress and expected arrival time

These details do not all carry the same weight for every operation. A multi-drop van fleet may place more emphasis on route progress and customer time windows. Alerts need restraint. If dispatch receives an alert for every minor event, the meaningful warnings will be ignored. Prioritise exceptions that require a decision, such as a vehicle running materially late, a trailer leaving an expected area, excessive idling, an unauthorised out-of-hours movement or a driver approaching a legal limit.

Make driver hours part of the allocation process

A dispatch plan that ignores driver hours is only a provisional plan. It can quickly unravel when the driver must take a break, reaches a daily limit or cannot lawfully return to base as expected. That creates last-minute reallocation, service failures and unnecessary pressure on drivers and planners.

Live driver hours monitoring should be visible at the same point as vehicle location. Before assigning a collection or delivery, the planner should be able to assess whether the driver has enough driving, working and duty time for the task, including realistic allowance for traffic, loading and waiting time.

The same approach applies to utilisation. If certain vehicles routinely return early while others are overloaded, that is not just a dispatch problem for the day. It may indicate poor territory planning, unsuitable vehicle allocation or inaccurate job duration estimates. Reports should help managers see these patterns across weeks and months, not just explain what happened yesterday.

Trailer visibility is equally important where assets are regularly dropped and swapped. A tractor may be visible, but the customer load could be sitting in a trailer at another depot or site. Tracking trailers alongside powered vehicles removes a common blind spot and makes it easier to locate available equipment quickly.

Create one dispatch routine for the depot

Technology only improves visibility when people use it consistently. Agree a simple routine for start of shift, live operation and end-of-day review. At the start of the day, confirm vehicle availability, driver assignments, known maintenance restrictions and high-risk jobs. During the shift, use exception alerts to manage changes rather than relying on repeated manual checks. At the end of the day, review uncompleted work, unexpected delays, defects and any compliance issues that may affect tomorrow's plan.

Drivers should understand what information dispatch can see and when they are expected to provide an update. The purpose is not to monitor people for its own sake. It is to reduce unnecessary calls, prevent unrealistic assignments and give the office enough notice to resolve a problem before it affects the customer.

Clear ownership matters as well. Dispatch should know who can approve a vehicle substitution, who handles a driver-hours concern and how defects are escalated to the workshop. Visibility without authority simply creates more messages.

Measure whether visibility is improving decisions

Do not judge a visibility project by the number of screens installed or reports produced. Measure whether planning is becoming more reliable. Useful indicators include late collections and deliveries, unplanned vehicle swaps, empty mileage, vehicle utilisation, customer-site dwell time, manual driver check-in calls and driver-hours infringements linked to poor planning.

Choose a small baseline first. If late running is a concern, track how often dispatch receives enough warning to take action and whether that action prevents a missed slot. If vehicle utilisation is weak, compare planned work against actual movement and idle time. The figures will show where the real constraint sits.
